Job Responsibilities
- Being the secretary to the Head of Research Center, responsible for the meeting schedule, business trip arrangement, tracking of key initiatives, and organization of the Center’s important meetings (meeting minutes will be required);
- Support the new teams to groom, including interview arrangement, employee onboarding and exit process, office and administration duties (e.g. asset management, attendance management, expenses claims, office environment, etc.);
- Support the experts in the new teams, including but not limited to flight and hotel bookings, meeting scheduling, expenses claims, meeting coordination, to achieve effective time management;
- Organize the Research Center’s promotion materials and document management, and provide necessary enablement to internal employees;
- Lead the secretary team (5-10 people) to provide professional office support to all teams in the Research Center; formulate the secretary service strategy, policy, and procedures; determine the service priority and provide day-to-day guidance;
- Lead the secretary team to foster the energetic and caring atmosphere, responsible for the annual budget plan and execution; including departmental activities, festival celebrations, interest groups, monthly/quarterly communication meetings; continuously enhance the employee engagement.
Job Requirements
- Fluent in Mandarin, English, and Cantonese;
- Familiar with Microsoft Word, Excel, Powerpoint, and Chinese input;
- College degree or above in management or related discipline, preferably trained in administration and secretarial support;
- At least 5 years of experience holding a managerial or office administrative position in a multinational company; prior experience in leading secretary team will be an advantage;
- Proactive, mature, organized, and attentive to details;
- Holding a high standard in ethics and integrity;
- Able to work in multi-cultural environment, with excellent communication, inter-personal and organizing ability.
